Code of Conduct + Terms & Conditions for 2026
To ensure a smooth running of the workshop, we ask you to come with a good spirit and a pinch of patience. We have a no-drama policy here and upon signing up to the workshops you are accepting these terms and conditions. If your code of conduct is rude to the instructor, the other students or to the organisers, you will be asked to leave, without disruption, and without a refund. We would only ever do this if absolutely necessary for the good of the entire group. We are proud to have a happy and friendly place, and we ask that you respect our property, belongings and team. A good measure of kindness and respect for the grounds and people you are alongside is paramount for all of our workshops.
The workshop must be paid in full on the day of sign up unless you would like the payment plan option, in which case please contact us. Please do not book your accommodation until you have been confirmed on the workshop by Symi.

We understand that plans can change. However, due to the nature of workshops and the upfront costs involved in hosting them, the following policy applies to all bookings:

Your place on a workshop is confirmed once a deposit or full payment has been received. By booking, you agree to the terms outlined below.

You may cancel your booking within 14 days of making payment and receive a full refund, minus bank fees and a 10% administration charge, provided the workshop start date is more than 30 days away at the time of cancellation.
If the workshop is within 30 days at the time of booking, no cooling-off period applies and there will be no refund. -
If you cancel more than 30 days before the workshop start date:
£400 is non-refundable plus a 10% administration fee and any non-recoverable bank processing fees. The £400 non-refundable deposit applies to full or part payments. -
All payments (including deposits and any balances paid) are strictly non-refundable and non-transferable if cancellation occurs within 30 days of the workshop start date. This also includes those who sign up for a workshop within the 30 day period of a workshop starting.
This applies regardless of reason, including but not limited to:
Illness or injury
Family or childcare issues
Travel disruption
Work commitments
Visa or flight issues
Change of personal circumstances
CovidAs workshops involve venue hire, staffing, materials, and planning costs committed in advance based on confirmed numbers, we are unable to make exceptions.

Bookings may only be transferred to another person with prior written approval. An administrative transfer fee may apply. Transfers are not permitted within 14 days of the workshop start date.

In the unlikely event that we must cancel a workshop, you will receive a full refund of all payments made. We are not responsible for any additional costs incurred (including travel or accommodation).

Photography & Videography
We will take photographs and have a professional photographer/videpgraher throughout the event for promotional purposes. Please know that by accepting these terms and conditions you are agreeing to have your photograph or film taken, and it may be published for promotional purposes in the future. It is important that you know that filming and photography will take place, though we will do all we can to not disturb you in any way possible.
Accommodation
Your accommodation is your own responsibility and not included in the workshop fee. We can help you with your accommodations, but you must be signed up for the workshop before we can help with accommodations.
Travel Insurance
You are required to have your own comprehensive travel insurance when attending the workshop including trip cancellation and liability cover, full cover for your personal belongings, accident and emergency cover etc, since this is not covered by Workshops in Yorkshire’s insurance. With COVID 19 and other factors that come into play, this is essential for you to take out when booking onto a workshop with us. It's worth looking into cancellation insurance too for your own piece of mind; this should cover your workshop, accommodations and transport. Please know that signing up for the workshop is an agreement on your behalf that you will take our comprehensive travel insurance and though we will not ask for evidence of this insurance, it is fully your responsibility to do so.

Food & Drink
Your evening meals are your own responsibility, unless otherwise states to be included in the workshop. All lunches are provided, and we will ensure your dietary requirements are met. Breakfasts are your own responsibility however we do provide fresh pastries, yogurts and fruit at the HQ. We will go out to several local pubs, and the bill for this is your responsibility.
Postponements
In the highly unlikely event we have to postpone, we recommend you book your flights either early in 2026, or with a full refund policy in place. We will only run the workshop if it is 100% safe to do so; both for our teachers and our students. You must arrange insurance to ensure you do not loose out from your flights and such. In the unlikely event that the teacher cannot attend the workshop, you will be refunded your place in full. We can only refund your workshop place and not your travel or accommodation costs (unless you are staying with us) or any other third party costs.
Covid Review
Three months before the workshops start date, we will review that is it safe to travel to the UK for all participants and the tutor. If the workshop is postponed, and you are unable to attend the new start date, then you will be given a full refund or there is an option to move to another workshop of your choice the following year. If you are unable to attend because of COVID 19 related issues, we would ask you let us know as soon as possible and if I cannot fill your space, we would ask this space moves to a workshop of your own choice the year after.

Visas
The UK now require a visa. Anyone, including children, wishing to travel to the UK will have to pay £10 for an ETA application. As per the current government advice, applications can take up to 3 working days to be approved. We are more than happy to help you paperwork when you are obtaining a visa for you to join us for a workshop. We ask that you tell us as soon as you apply that you are doing so, so we can ensure we get the necessary paper work to you in good time. We would really appreciate you letting us know that a visa will be required upon signing up for the workshop.
Transport
Transfers to and from the airport are not included in the workshop price. However, we are recommending UBER directly from Manchester or Leeds/Bradford airports when landing for the best rates. When I know when folks are landing, I will always try and arrange for you to share the journey. If you are flying in from Europe, I would recommend flying into Leeds/Bradford Airport. If you flying in from outside of Europe, then look at flights into Manchester Airport.
Medical Conditions
Please inform us of any special medications for emergency purposes. You are responsible for bringing your own medicines throughout the workshop. For Plein Air workshops, all students should be fit enough to walk un-aided for at least 1 hour and manage uneven stairs and occasionally steep walkways as we may visit a location which is historic. All students must be able to carry their own equipment to and from painting sites and vehicles. We will always park as close as possible, but sometimes, there will be a walk. Unfortunately, at this point in time we cannot accommodate wheelchair users at the HQ, with the nature of the studio being on Level 1, without lifts in the building.

What to expect once you sign up?
Once you've signed up, we will reach out to you shortly after. There will be a full materials list provided, an itinery for the week and of course, we will help you with transport and accomodation. We don't usually send out the itinerary or the materials list until the same year as the workshop, just for your information.
